Managing your actions in IKS. You do it all! We want your list of things to do shorter, not longer! When it comes to growing your enrollment, our system makes capturing lead data a breeze. By incorporating our Tour Scheduling and Contact Us landing pages into your website, leads have the opportunity to provide their own information and directly schedule tours. With our call recording feature, we are able to capture a lead’s phone number, and allow you to revisit the conversation later to fill in the blanks. To make things even easier, you can use our SMS-AI functionality to take advantage of both our landing pages and call capture features together to set up to trigger a text message to any first-time callers in the system. The standard text message is: “Thank you for contacting (business name). We look forward to learning more about your family. Please complete this form (link to form) and we will contact you soon.” This text contains a link to a landing page that will allow the lead to fill in their own details: First Name Last Name Email Address Child’s First Name Child’s Last Name Child’s Date of Birth Child’s Gender Desired Start Date Add Another Child (if needed) Your leads will also have the option to schedule a tour from this form as well. (If they are not quite ready and just want to learn more about what you have to offer, they are not required to select a tour time.) As with any of our form submissions, the lead status will be updated to New Lead if they choose not to schedule a tour, or updated to Scheduled if they do schedule a tour. Not only does the lead fill in their own blanks, the system uses marketing automation to update the status, and send the appropriate communication to your lead; all of which are time-saving features! Managing leads can seem overwhelming at times, but with IntelliKid Systems, prioritizing your leads and addressing their needs is simple! With the ease of use offered by our Blue Smart Menu, you can easily sort your leads to ensure that no one falls through the cracks! Under the Leads section, you will see 5 focus categories: New, Scheduled, Actions To Take, Hot, and Incomplete. New: This option will pull up all of your leads currently in the New Lead status. This list will allow you to easily touch base with your New Leads, and reach out to encourage them to schedule a tour! The goal here is to turn around these leads within 24 hours to either the Thinking or Scheduled statuses. Scheduled: The Scheduled section allows you to easily view your leads that have a Scheduled status and have upcoming tours! You can toggle between either a list or calendar view based on your personal preferences! Actions to Take: Your Actions to Take are going to be the bread and butter of your daily tasks! Your Actions are used as a checklist to make sure that all of your leads' needs have been met, and that everyone is being nurtured. These will vary between communication notifications, nudges to contact the lead to follow up, or prompts to change a status. Your Actions should be cleared at the end of each day! A Hot Lead can be defined by the specific needs of your center; whether that is because you think that family is close to enrolling, or if they have a child that meets the age range of a classroom you are trying to fill! Your options are limitless! Incomplete: A lead is considered Incomplete when they do not have a Status assigned. The Incomplete section will bring all of these leads together, so you can review their profiles, contact them if necessary, and then assign them the correct status. Status changes are important not only so that you know where your leads are at in the process, but, also, to tell the system what Marketing Automation to send and when! - Creating and Managing New User Accounts
Have you recently hired a new team member, or maybe need to add more of your team members as daily users to IKS? Adding a new user account is easy! All you need is an email, first and last name, and to create a password! When logged into IKS, you can access our Help Center article here and/or follow the steps below: Go to Menu > Accounts and click "+Add Account" in the top-right corner. Fill in the account's details: First name. Last name. Email. Password. Click Add. The new account will now appear on the Accounts list! With IKS, you can also set user permissions that are relevant to the different user types in your center, whether the user needs admin capabilities, or if you have a daily user that only manages leads! Whatever your needs are, we can cater to them! Once the user account has been created, you can set permissions by using the details and information found in this blog post! In the Accounts list, find the account and click "Details". In the Permission section, click on the category to expand it and view a list of permissions. To change the permissions of a user, click Edit in the Permissions section. The Account Permissions page consists of two sections: General Permissions - add/change permissions for the Portal and LMS. Website Permissions - add/change permissions for Website access. General Permissions control the following permissions: Portal - managing the business, locations and accounts. App - switching the App permission on will allow a user to log in to the IntelliKid Systems App. LMS - accessing and managing the Lead Management System and Marketing Automation. Portal permissions list: Access - settings that allow users to log in to the IKS system. Account - settings that allow users to manage the business accounts section (create new users, edit information and permissions). Business - settings that allow users to manage locations (choose to modify all or only select ones). Emails - settings that allow to view all Emails. Settings - settings that allow users to view and/or edit General Settings. Websites - settings that allow users to create, delete and/or manage websites. Files - system that allows users to upload and delete files in the Portal. Domain - permission to create a dedicated domain or subdomain to be used for marketing purposes within IKS LMS permissions list (Note: To add LMS Permissions, you must select "+Add", then select LMS): Access - settings that allow users to access an LMS instance. LMS - settings that allow users to view and manage leads, as well as the ability to view leads without locations. Emails - settings that allow users to view the Email section in LMS (based on location permissions). SMS - settings that allow users to view the SMS section in LMS (based on location permissions). Calls - settings that allow users to view the Call section in LMS (based on location permissions) and delete call recordings. Marketing Automation - settings that allow users to manage workflows and templates in Marketing Automation. Campaigns - settings that allow users to access, create and send campaigns. Files - allows users to upload and delete files in LMS. Facebook - allows users to view Facebook Messages (based on location permissions). Website Permissions: Accounts can be granted access and the ability to edit content on one or more Landing Pages (websites). To give permissions for website access, simply click on Add next to Websites Permissions. Choose the name of the website that you would like to grant access to. Website permissions consist of: Access - settings that allow users to access a Website instance. Files - settings that allow users to upload and delete files from websites. Websites - settings that allow users to manage the website's content, page structure, publishing and website settings. To grant users access to another website, simply add another website by selecting it from the list and activating the necessary controls. Note: The IntelliKid Systems App is designed for the management level of the company and allows to view business performance based on different parameters (locations, leads, scheduled tours, etc.) Adding/Editing Permissions: Turning a permission on or off is as simple as clicking the toggle switch.
