Creating and Managing New User Accounts

Have you recently hired a new team member, or maybe need to add more of your team members as daily users to IKS? Adding a new user account is easy! All you need is an email, first and last name, and to create a password!


When logged into IKS, you can access our Help Center article here and/or follow the steps below:


Go to Menu > Accounts and click "+Add Account" in the top-right corner.


Fill in the account's details:

  1. First name.

  2. Last name.

  3. Email.

  4. Password.

  5. Click Add.

The new account will now appear on the Accounts list!




With IKS, you can also set user permissions that are relevant to the different user types in your center, whether the user needs admin capabilities, or if you have a daily user that only manages leads! Whatever your needs are, we can cater to them!


Once the user account has been created, you can set permissions by using the details and information found in this blog post!


 

In the Accounts list, find the account and click "Details".


In the Permission section, click on the category to expand it and view a list of permissions.


To change the permissions of a user, click Edit in the Permissions section.



The Account Permissions page consists of two sections:


  • General Permissions - add/change permissions for the Portal and LMS.

  • Website Permissions - add/change permissions for Website access.




General Permissions control the following permissions:


  • Portal - managing the business, locations and accounts.

  • App - switching the App permission on will allow a user to log in to the IntelliKid Systems App.

  • LMS - accessing and managing the Lead Management System and Marketing Automation.


Portal permissions list:


  • Access - settings that allow users to log in to the IKS system.

  • Account - settings that allow users to manage the business accounts section (create new users, edit information and permissions).

  • Business - settings that allow users to manage locations (choose to modify all or only select ones).

  • Emails - settings that allow to view all Emails.

  • Settings - settings that allow users to view and/or edit General Settings.

  • Websites - settings that allow users to create, delete and/or manage websites.

  • Files - system that allows users to upload and delete files in the Portal.

  • Domain - permission to create a dedicated domain or subdomain to be used for marketing purposes within IKS


LMS permissions list (Note: To add LMS Permissions, you must select "+Add", then select LMS):


  • Access - settings that allow users to access an LMS instance.

  • LMS - settings that allow users to view and manage leads, as well as the ability to view leads without locations.

  • Emails - settings that allow users to view the Email section in LMS (based on location permissions).

  • SMS - settings that allow users to view the SMS section in LMS (based on location permissions).

  • Calls - settings that allow users to view the Call section in LMS (based on location permissions) and delete call recordings.

  • Marketing Automation - settings that allow users to manage workflows and templates in Marketing Automation.

  • Campaigns - settings that allow users to access, create and send campaigns.

  • Files - allows users to upload and delete files in LMS.

  • Facebook - allows users to view Facebook Messages (based on location permissions).


Website Permissions:


Accounts can be granted access and the ability to edit content on one or more Landing Pages (websites).


To give permissions for website access, simply click on Add next to Websites Permissions. Choose the name of the website that you would like to grant access to.


Website permissions consist of:


  • Access - settings that allow users to access a Website instance.

  • Files - settings that allow users to upload and delete files from websites.

  • Websites - settings that allow users to manage the website's content, page structure, publishing and website settings.


To grant users access to another website, simply add another website by selecting it from the list and activating the necessary controls.


Note:

The IntelliKid Systems App is designed for the management level of the company and allows to view business performance based on different parameters (locations, leads, scheduled tours, etc.)


Adding/Editing Permissions:

Turning a permission on or off is as simple as clicking the toggle switch. Any selection made will auto-update and save in the user’s settings.



To Delete user permissions, click the red "Delete" button in the upper right-hand corner of the respective permission type.
